Kitsoft has developed an electronic reservation service on the Diia portal for reserving employees liable for military service in critically important companies and those that meet the needs of the Security and Defense Forces. This will simplify the reservation process and reduce the amount of paperwork.
Previously, to reserve their employees, company management had to submit documents in paper form to several government agencies, and the reservation process took at least a month.
To automate the process and reduce reservation waiting times, the Kitsoft team integrated data from the Unified State Register of Conscripts, Liable for Military Service, and Reservists «Oberig» with the Diia portal.
Automating the reservation process allowed to:
- Reduce time costs to an hour;
- Eliminate the human factor;
- Reduce the amount of manual work for employees of the involved ministries.
As a result, all information about the reservation of employees will be in the electronic account of the company's manager or their authorized person. In the case of a successful reservation, the corresponding status is automatically entered into the “Oberig” register. To see the changes faster in «Reserve+», we recommend updating it, and the new information will immediately be pulled from the register.
How electronic reservation works on the Diia portal
1. Central executive authorities (CEAs) form a list of enterprises that can reserve employees.
For this, Kitsoft has developed a cabinet and created the appropriate role with necessary rights and accesses for CEA representatives.
2. The manager of an enterprise included in the list submits lists of employees liable for military service through their personal account and signs the application using a QES (qualified electronic signature).
The information from the Unified State Register of Conscripts, Liable for Military Service, and Reservists can be viewed by the manager in their personal account. The statuses and reservation eligibility for all employees liable for military service in the «Oberig» register are automatically pulled. If an employee is not subject to reservation, the system will indicate the reason, while for those already reserved — the validity period of the reservation. This will help management make informed decisions about reservations and control their validity period.
3. The system automatically checks the application to ensure that the company's and employees' data meet the criteria:
- The enterprise is critically important or meets the needs of the Security and Defense Forces;
- The employee liable for military service is officially employed;
- The employee's data is in the “Oberig” register.
As a result of meeting all conditions, the electronic reservation of employees liable for military service is carried out without officials' involvement — the new status is automatically recorded in the «Oberig» register.
4. Within a day, the manager will receive a notification about the request result.
It can be checked in the manager's account or the «Reserve+» application after updating.
What's next?
Soon, the Diia portal will also provide the opportunity to generate an electronic military registration document, which will display information about the reservation.
